Sending Touch Stay guide books to your guests via iPRO
Introduction
While iPRO does not have a direct integration with Touch Stay, you can still efficiently share your Touch Stay property guide books with your guests. This guide will walk you through the necessary steps to set up this process.
Prerequisites
1. Touch Stay account
2. iPRO property export
1/ Account creation & iPRO export
- Raise a support ticket with iPRO to request a Touch Stay property export. We will schedule the export and send you the document.
- Support ticket title: Export properties for Touch Stay integration
- Once you receive the export document, create your Touch Stay account if you haven’t done so already. Your Touch Stay on-boarder will assist in importing the iPRO property data into your Touch Stay account.
2/ Adding the link to the Touch Stay guide book in iPRO
- Navigate to each property’s "Rates & Notes" tab in the CMS.
- Locate the "Directions" field.
- Insert the link to the Touch Stay guide book for the property:
- Use the “Quick Share link” from Touch Stay.
- Highlight the desired text and click the hyperlink button.
- Paste the “Quick Share link” and click Insert.
- Click Save & Publish to update the information.
3/ Guest Emails
- Ensure that the iPRO emails templates you want to send this information has the token below:
{propertyDirections} - Do not copy and paste the token above from this guide to your email template.
FAQs
Q: What is a "Quick share link"?
- A: This is link to the guide book on the Touch Stay platform. Each book has its own unique link called the “Quick Share” link. It will always be the same link for that specific book. It’s a fast and easy way to send your guests your book, particularly where you have a large business with lots of guests
Q: Where do I find the "Quick share link"?
- A: On the Touch Stay Platform, go to the “Invite & Share” tab for your guide and it’s there right at the top! If you have multiple guides in your account, then you can also download a csv or xslx file of all your Quick Share links from the Downloads option on the Guides list page.
Q: Should I put property lock codes in the guide book?
- A: We suggest that you continue to send your lock codes to guests as you normally do. Then simply use the Touch Stay guidebook to explain to the guest how they’ll receive their code, what to do with it, how to operate the keypad, etc.
- If you have any secure information in your guide book then the above process will not be appropriate since your link will include every piece of information in your guide book, which includes any topics that you had marked as Limited Access for security reasons.
- It will also mean that a guest who has checked out will still be able to view the welcome book. However we would point out that this is no different from the case where you send them a PDF or information via any other format over email. We just want you to be aware!
- This method can be very effective as a lead generation tool for you. Some of our customers are including it in their replies to guests who have contacted them about a stay but haven’t yet booked. This differentiates you from the other people a guest may have contacted and, as such, can help boost your conversion.
