Guests Paying via Virtual Credit Card - Sales Channels

Introduction

Depending on the sales channels you advertise on and the payment terms of your account, guests may expect you (the Agency) to take payment using the card details they provided at the time of booking.

For these bookings, a Virtual Credit Card (VCC) is attached to the booking. You can "reveal" this card information via  iPRO  and then manually process a MOTO (Mail Order/Telephone Order) payment.


Prerequisites

To process payments via Virtual Credit Cards, you must:

  • Have a Channel Manager account

  • Be advertising on Vrbo

  • Be advertising on Booking.com (for bookings where you take payment via VCC)

  • Have MOTO capability enabled with your Payment Provider


Accessing the Virtual Credit Card Information

You can reveal the Virtual Credit Card details for up to 10 days after they are provided by the Channel Manager.

After this period, neither iPRO nor the Channel Manager can share this information.

  • If the guest has not yet been charged, you must contact the Sales Channel or the guest directly to retrieve the payment details.


Guest Booking – Is There a Card for Me to Charge?

It’s important to understand if a card will be available to charge. You should always be aware of this based on what Sales channels you advertise and your payment terms with them.

Vrbo Bookings

  • Vrbo always provides a Virtual Credit Card (VCC).

  • You can either charge the card manually or redirect the guest to your "Pay Now" page.

  • Although the guest enters their card details on Vrbo, they may not have been charged yet.

  • Consider adjusting your email communication and guest journey to reduce manual payment processing for Vrbo bookings.

Booking.com Bookings

  • Booking.com’s process differs.

  • You can check whether a card is available to charge by reviewing the Private Internal Notes of the booking in iPRO.




How Can I Charge the Card in iPRO?

To process a MOTO payment in iPRO:

  1. Click "Add Guest Payment" in the guest's iPRO booking.




  2. If you have MOTO capability enabled, you can proceed with the payment.

  3. If you do not have MOTO enabled, you must direct the guest to your "Make Payment" page.


Viewing Card Details in iPRO

Upon clicking "Add Guest Payment," you will see one of the following modals:


1. Warning Before Revealing Card Details

  • The system warns you that you are about to reveal the card information.

  • The CVV number can only be revealed once.

  • iPRO does not store this information, so if you do not process the payment immediately, you must store the details securely.

  • Clicking the "View Card details" button will do either of the following

2. No Card Information Available

If no card details appear, it may be due to:

  • The one-time reveal already being used.

  • No card details available for that booking.

  • The card details have expired (more than 10 days have passed).


3. Card Details Available

 

  • If the details have not yet been revealed, you will see the full card number and the CVV (one-time reveal).

  • You can now process the payment.

  • If you leave this screen without clicking "Process Payment", the details will not be accessible again.

Pending Payment Placeholder

  • A pending payment is automatically created when the payment modal loads, not when you click "Process Payment."

  • If you abandon the process and do not complete the payment, you must delete the pending payment to keep your records and payment schedules accurate.

1. What is a Virtual Credit Card (VCC)?

A Virtual Credit Card (VCC) is a temporary card issued by the sales channel (e.g., Vrbo or Booking.com) that allows the Agency to charge the guest for their booking.

2. How long do I have to reveal the card details?

You can reveal the card details within 10 days after they are provided by the Sales Channel. After that, the details will no longer be accessible.


3. What happens if I reveal the card details but don’t process the payment?

  • The CVV number can only be revealed once.

  • If you don’t process the payment, you will need to store the details manually, as they cannot be retrieved again.

4. What if I don’t have MOTO enabled with my Payment Provider?

If you do not have MOTO (Mail Order/Telephone Order) payments enabled, you will need to redirect the guest to your "Make Payment" page instead.


5. Why can’t I see any card details when I try to reveal them?

There are a few possible reasons:

  • The one-time reveal has already been used.

  • There are no card details available for this booking.

  • The 10-day period has expired, and the details are no longer accessible.

6. What should I do if I abandon a payment after opening the card details?

If you don’t complete the payment, a pending payment placeholder is created. You must delete the pending payment manually to keep your records accurate.


7. Can I automate payments from Virtual Credit Cards?

No, you must manually process the payment in iPRO using the Add guest payment button.
