How to edit a booking received from the Channel Manager

Modified on Fri, 16 Oct, 2020 at 2:39 PM

When working with Partners it is important that you understand the impact of editing a booking, currently within iPro you can receive bookings from the following sources:

  • Website (iPro or API)
  • Phone / Email (processed via the back office)
  • Channel Manager (Rentals United)
  • iPro Partner (iPro to iPro Connection)
  • 3rd Party Integration via the API
  • iCal

Whenever you receive a booking from a 3rd party, you should always aim to have the amendments updated via the external source and allow iPro to automatically update.  However with some connections we realise that there is a lack of data received and the format is slightly different to how you would handle a booking that was processed directly via the iPro system.

We have made a number of changes to ensure that you are able to update the iPro booking to ensure that is contains the most up to date details for the bookings and the financial status.

What can I update from a booking received via Rentals United

When we receive a booking from Rentals United, we update the booking with the following information:

i. Source = Source of booking i.e. Airbnb, Booking.com

ii. Guest Notes = Include the comments received from the OTA

iii. Guest details & financials

iv. Guest payment, we will add a payment either as deferred or completed depending on the OTA settings and when / how you get paid

1/ Once the booking has been received, you can now edit the following information without notifying the OTA

i. Adults

ii. Children

iii. Infants

iv. You can add or amend extras

2/ When changing the dates of a booking, while you can update within iPro it is CRITICAL that you manage date changes within the OTA website i.e. Airbnb / Booking.com.  As the OTA will expect more money and therefore prices are to be agreed at the source.

Once this has been agreed it will filter through too iPro and you can update the prices as required.

3/ If a booking is amended via the OTA, it will send a notification to iPro.  iPro WILL ONLY update the dates if they have changed if anything else has changed such:

i. Name

ii. No. of guests

iii. Price

iv. Guest details

iPro will log the changes within an email and you can then update as required.  iPro will not update any custom extras you have added
